We're Hiring a Billing Services Coordinator

Most billing jobs put you in a queue. You work the tickets, move claims, hit metrics, and never really know the practice on the other end of the account.

That's not how we do things at BreezyBilling. We're growing, and we're looking for a Billing Services Coordinator who wants to actually know their clients and be the person those clients count on.

If you understand how mental health clinics operate, have great communication skills, love owning the success of your accounts, we'd love to hear from you.

What BreezyBilling Does Differently

We're a behavioral health billing services company based in Minnesota, and we've been doing this since 2015. Our clients are therapists, counselors, and group practices, many of them navigating complex programs like ARMHS, CTSS, and outpatient behavioral health.

What sets us apart is the relational model. Every client gets a dedicated account coordinator and a dedicated biller. Not a shared inbox. A person who knows their practice, answers their questions, and shows up for their monthly review.

Good billing services focus on numbers. Great ones focus on the relationship, too. That's the standard we hold ourselves to, and it's what makes this role meaningful.

What a Billing Services Coordinator Actually Does

This role sits at the center of the client relationship. You're the coordinator, the communicator, and the advocate for each account you manage.

On any given week, you might be:

  • Verifying eligibility and entering benefits data in BreezyNotes EHR

  • Following up with clients after weekly payment posting when issues arise

  • Coordinating with our billing subcontractors on claim questions

  • Scheduling and leading monthly account reviews

  • Submitting invoices on behalf of clients

  • Flagging issues during monthly audits before they turn into problems

You're not doing the billing yourself in most cases. But you're the person who makes sure the billing team has what they need, clients stay informed, and nothing falls through the cracks.

The job description puts it simply: advocate for your accounts. That's the core of it.

The Kind of Person Who Thrives Here

We've thought carefully about what makes someone excellent in this role. It's not just a skills checklist. It's a particular combination of qualities.

You're warm, but professional. Clients in behavioral health practices deal with a lot. You know how to make someone feel supported without losing focus on the work.

You're proactive, not reactive. The best coordinators address issues before clients even notice them. You check in. You follow up. You don't wait for a problem to become urgent.

You communicate clearly and consistently. Whether it's a routine update or a tricky denial situation, you keep clients in the loop. You don't leave people wondering.

You can handle complexity without getting rattled. Mental health billing involves a lot of moving parts: payer rules, EHR systems, Medicaid programs, clearinghouse processes. You don't have to know everything on day one, but you need to be someone who figures things out and stays steady under pressure.

You're organized and self-directed. This is a remote position. You manage your own schedule, your own accounts, and your own priorities. We'll support you, but we won't micromanage you.

Experience and Skills We're Looking For

Here's what the role requires:

  • 3 years of mental health administrative experience (required)

  • 1 year of healthcare billing experience (preferred)

  • Familiarity with electronic health records software

  • Healthcare clearinghouse experience

  • Comfort with Microsoft Office and Google Workspace

  • Strong time management, especially working from home

Experience with mental health billing specifically is a real advantage. Understanding how behavioral health claims work, what payers look for, and how practices operate day-to-day means you can support clients at a deeper level from the start.

We'll provide HIPAA and PHI compliance training as part of onboarding. All BreezyNotes security policies apply.

Why This Role Matters

Behavioral health practice owners got into this field to help people, not to manage claims and chase denials. Revenue cycle management can feel like an obstacle between clinicians and the work they care about.

A great Billing Services Coordinator removes that obstacle. You're the reason a practice owner doesn't lose sleep over their A/R. You're the reason a client trusts that their billing is handled. And you're part of a team that genuinely believes the service side of this business matters as much as the technical side.

If that sounds like the kind of work you want to do, we'd like to meet you.
